Volunteer Manager - Contractor

Position Summary

The Volunteer Manager will lead the planning and execution of all volunteer positions onsite during Games Done Quick events. Reporting to the Event Directors, this position will collaborate with all teams that recruit volunteers. This position requires outstanding management and communication skills, promoting teamwork and collaboration across several disciplines within Games Done Quick.

The ideal candidate for Volunteer Manager is a leader with experience constructing schedules and coordinating volunteers, evaluating and refining existing processes to provide and improve upon the experience for volunteers at Games Done Quick events.


Games Done Quick teams work remotely between events and attend events onsite. Flexibility is key.

Pre-Event (Remote)

  • Facilitate communication between departments to source volunteers for Enforcement, Tech, Donations, Hosting, Stylist, Board Game Librarian, and Check-In
  • Construct volunteer schedules using scheduling software, ensuring adherence to local labor laws
  • Answering inquiries or forwarding them to the correct person that are sent to the volunteer inquiry email
  • Assisting with volunteer accommodations as necessary
  • Maintaining record of volunteer evaluations
  • Interface with service vendors as necessary
  • Attend meetings via phone or online meeting software

During Events (Onsite)

  • Administer orientations as needed to support volunteer teams
  • Adjust and maintain the volunteer schedule to cover for gaps or sudden drops
  • Cover shifts as necessary to ensure proper coverage

Requirements & Qualifications

  • Must be currently legally authorized to work in the United States of America
  • Possession of a functional computer and phone with the ability to use software such as Slack, Google Suite, Zoom, Initlive, and a web browser.
  • Experience constructing work schedules
  • Self-motivation, organizational skills, and experience in project management
  • Ability to develop, communicate, and execute on plans
  • Strong written, verbal and interpersonal communication skills
  • Ability to travel to Games Done Quick events
  • Proven experience in team management

Bonus Points If You:

  • Have familiarity with Initlive
  • Are an active member of communities within the video game, speedrunning, and esports ecosystems
  • Have experience running events
  • Possess experience in teaching or public speaking
